We collect information you provide when creating an account (name, email, company name), business configuration data, and call data processed through the AI voice agent. We also collect usage data such as login activity and feature usage.
2. How We Use Your Information
Your information is used to provide and improve the Service, process transactions, send service-related communications, and maintain platform security. Call recordings and transcripts are used to deliver AI voice agent functionality.
3. Data Storage and Security
Your data is stored securely using industry-standard encryption. We use Supabase for database hosting with row-level security policies. Payment information is handled by Stripe and never stored on our servers.
4. Third-Party Services
We use third-party services to operate the platform: Supabase (authentication and database), Stripe (payment processing), Vapi AI (voice agent infrastructure), and Resend (email delivery). Each service has its own privacy policy governing their data practices.
5. Call Recordings
Calls handled by your AI voice agent may be recorded for quality and training purposes. You are responsible for ensuring your callers are informed about call recording in compliance with applicable laws.
6. Data Sharing
We do not sell your personal information. We may share data with service providers necessary to operate the platform, or as required by law. Aggregated, anonymized data may be used for analytics and product improvement.
6.1 Mobile Information and SMS Opt-In Data
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. This includes phone numbers, SMS opt-in data, and text messaging originator opt-in data and consent, none of which will be shared with any third parties.
Information sharing with subcontractors in support services, such as customer service and SMS delivery (for example, Twilio or AWS SNS), is permitted only to facilitate the services you have requested. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties for any purpose.
6a. SMS Messaging and Mobile Data
Rinovo AI sends SMS text messages on behalf of businesses that use the Service, including appointment confirmations, appointment reminders, cancellation/reschedule notices, and post-appointment follow-up messages. Recipients provide consent to receive SMS messages via (a) verbal agreement during a phone call with the AI voice agent, (b) our online consent form at https://rinovo.app/sms-consent, or (c) written authorization on intake forms at the provider office.
Message frequency varies based on appointment activity (typically 1–5 messages per appointment). Message and data rates may apply. Recipients may opt out at any time by replying STOP, CANCEL, END, QUIT, or UNSUBSCRIBE to any message, and may request help by replying HELP. Phone numbers collected for SMS purposes are used solely for delivering the appointment-related messages the recipient consented to and are never sold, rented, or shared with third parties for marketing purposes. 7. Your Rights
You may access, update, or delete your account data at any time through your account settings. You may request a complete export of your data or request account deletion by contacting support.
8. Cookies and Tracking
We use essential cookies for authentication and session management. Email campaigns may include tracking pixels to measure open rates. You can manage cookie preferences in your browser settings.
9. Data Retention
We retain your data for as long as your account is active. After account deletion, data is permanently removed within 30 days. Call recordings are retained according to your plan settings and applicable retention policies.
